Privacy policy

Beria is a record-keeping tool for small trading businesses: stock, sales, debtors, costs, and a financial overview, run from a phone. This page explains what we hold, why we hold it, and what you can ask us to do with it. If anything here is unclear, email support@beria.io.

What we collect

There are two kinds of data.

Your account. The name and email you sign in with, an optional phone number, and a hashed version of your password. We never store the password itself. A staff account holds the same, plus the branch that person works at.

The records you enter. This is the heart of it: products and prices, stock batches and their costs, suppliers, the customers you record against sales and debts (including their names and phone numbers), sales and the profit on them, payment plans, expenses, liabilities, cash balances, and dealer swaps. These are your business's books. You put them in, and they stay yours.

We also keep a few things to run the service safely: a cookie that keeps you signed in, an audit log of who changed what and when, and a short record of failed sign-in attempts so we can slow down password guessing. The audit log is a feature, not surveillance. It is how an owner keeps an honest record of what happens on the shop floor.

What we don't collect

No advertising trackers, no third-party analytics, no location tracking. Beria doesn't follow you around the web. The only cookie we set is the one that keeps you logged in.

Why we use it

To run the app: store your records, show your dashboard, and keep each staff member scoped to what their owner allows. To send a few emails you ask for or opt into: an invite link for a new account, a password-reset link, and the weekly and monthly summaries for owners. Those emails go out through ZeptoMail (Zoho). And to keep accounts secure, through sessions, the audit trail, and sign-in throttling.

That is the whole list. We don't use your business data to train models, and we don't sell it to anyone.

Who can see your data

A shop's data belongs to that shop. Other shops can't see it. Beria keeps each business separate in the data layer, not just on the screen. Within a shop, staff see only what the owner allows: their branch's available stock and current prices, and the day's sales. They don't see buying prices, profit, or costs unless the owner turns something on.

Beria's platform admin can see a limited set of oversight information, such as shop names, user and branch counts, sales volume, and an activity feed, for support and safety. The admin cannot see a shop's private economics: buying prices, profit, costs, liabilities, or cash balances. Those never leave the owner.

Where it's stored

Your data lives in a Postgres database hosted by Neon, and the app runs on Vercel. Both are providers we rely on to keep the service running. They process data on our behalf and don't get to use it for their own purposes.

Getting your data out, or deleting it

You own your records. An owner can export sales, debtors, and expenses to a CSV file from inside the app at any time. If you want your account or your shop's data deleted, email support@beria.io and we'll handle it.

Keeping it safe

Passwords are hashed with scrypt and never stored in the clear. Your session rides on a hashed token in an HttpOnly cookie, over HTTPS. No system is perfectly safe, but we've built the money and access paths carefully, and the audit trail means nothing changes without a record.

Children

Beria is a business tool. It isn't for anyone under 18.

Where this applies

Beria's first customers are in Ghana, and we aim to handle personal data in line with the Ghana Data Protection Act. If you operate elsewhere, other rules may apply to you.

Changes

We'll update this page when our practices change and move the date at the top. If a change is significant, we'll email account owners.
